Board of Directors Monthly Meeting Minutes

Kelly Stanton called the meeting to order at 7:02 p.m.

Present:  Kelly Stanton, Alyse Avitable and Steve Balch.  Absent: Charlie Abell.  Also in attendance:  Renae Foster with TCB Property Management, and 6 homeowners indicated by the sign-in sheet.

Copperfield POA Mission Statement:  Manage the operations of the Association to effectively maintain the community in order to preserve property values and community spirit.

Steve Balch made a motion to accept the May 2017 Board of Director Meeting minutes as presented. Alyse Avitable seconded the motion and the motion was approved unanimously by voice vote.

Landscape Committee Report:

Southern Greens Irrigation Repairs – Kelly Stanton reported that at the West side of the entryway, there are too many sprinkler heads on that zone, which is affecting the pressure and coverage of the current heads.  Southern Greens sent a proposal to split them into two zones to help with the pressure.  Renae will get a second bid/opinion before moving forward on this item.  Kelly Stanton will also follow up with Southern Greens regarding the drastic change in price from the verbal quote.

Homeowners Request for Screen Entry- The owners of 1811 Abbeyridge submitted and ARC for a screened in entryway and screened door.  Since there is no reference to screening in the Documents, the ARC referred this to the Board for their guidance.  The Board reviewed the application which was submitted.

Steve Balch made a motion to approve the screened in front entry for 1811 Abbeyridge Drive as requested.  Alyse Avitable seconded the motion and the motion was passed unanimously by voice vote.

ARA Request for Playset Denied:  AB Law has still not responded regarding the playset in question.  Renae Foster will reach out one final time to AB Law giving them until Friday to respond, and if they do not, we will turn the matter over to Clayton & McCulloh.

NEW BUSINESS:

Bank Signature Cards- Kelly Stanton reported that one of the banks still has Jim on it, so we are updating the signature cards.

Irrigation Upgrades-  There is a second section of sprinkler heads behind the entrance wall that are also not providing proper coverage.  Southern Greens also submitted a proposal to convert the existing sprays to PGP Rotors to increase the range.  Renae will contact someone to meet with Kelly to get a second opinion/bid on this item as well.

Dead Queen Palm in Front Center Island-  Blue Bell Landscaping submitted a bid to remove the dead Queen palm in the front center Island and replace it.  The quote came in at $535.  This item has been tabled for now.  Renae will contact Jerry’s Tree Service and one other company to obtain a second quote.  This will be re-examined in September.

Regular Maintenance Landscaping Bids-   Renae Foster went out to get bids for the weekly lawn maintenance program.  Five landscaping companies sent bids in for the Board to review.  Renae Foster will contact Florida Commercial Care and ask for local references.  Renae Foster will also contact The Savannahs to ask for a recommendation for BlueBell Landscaping. Renae will also ask Southern Greens about their bid.  Renae will also contact Complete Lawn to ask if they want to walk the property with Ray to make sure they understand the scope.

Copperfield Chronicles: The next chronicles will include an article regarding loose cats.  Also included will be a summation of the letter sent to get Board Members.  Renae Foster will send the letter to the Board for edits.

Adjournment:  Alyse Avitable made a motion to adjourn the meeting at 8:06 p.m.  Steve Balch seconded the motion and the motion was passed unanimously by voice vote.
